Re: Scheduling System Trip Notification Features

Background
At its October 14, 2025 meeting, APTSAC members requested that a report be brought back outlining the trip notification features in the new scheduling system utilized for the specialized service.
As part of the new scheduling system implementation, al registrants of the service were provided with a summary document outlining the various features of the new software. The document provided an overview of how to utilize all aspects of the online booking system as well as the various trip notification options. The remainder of this report provides a recap of the trip notification options available to all specialized service registrants.
As part of the new system implementation, all registrants were asked to provide their preferred manner of contact for trip notifications, noting they could select all or one of telephone, text or email. Once this contact information is entered on file, customers will begin receiving notifications about their upcoming trips. Notifications will be sent as follows:
- Notification 1 – sent upon a trip being scheduled to a bus (note this applies to trips that have been waitlisted and then accommodated post the initial request)
- Notification 2 – sent the night prior to a scheduled trip (usually around 6:00PM) and will include a reminder of all trips scheduled for the following day
- Notification 3 – sent approximately 20 minutes prior to the vehicle arriving at the scheduled pick-up location
- Notification 4 – sent when the driver has arrived at the scheduled pick-up location
Should a customer wish to change the manner in which they receive trip notifications, they can advise a booking agent of the new contact information and their file will be updated.
